The evaluation of each Conference Support application received is carried out by the Management Committee of the Action to which the application is made. The coordinator / committee assigned by the Action Director or the Action Vice President or the Action Management may carry out the said evaluation process on behalf of the Action Management Committee. The criteria for the evaluation of the Conference Applications are determined by each Action’s own Executive Committee, and the evaluation criteria must be communicated to applicants.

The evaluation and selection of the application is based on the scientific compatibility of the international conference subject to the application with the subject of the Action, and what kind of contributions the Action can make in achieving its scientific goals.

In determining the amount of conference support, the budget request of the applicant and the evaluation made are taken into consideration. Conference support may not cover all costs associated with the applicant’s participation in the conference subject to the application. The support is a contribution towards the applicant’s travel, accommodation and meal expenses.

In addition, if the food and accommodation expenses are covered by the conference, the amount equal to the daily expenses is deducted from the total support. Documents regarding the conference participation fee must be submitted by the applicant to the Action for which the application is made.

Within 1 to 15 days after participating in the conference, the applicant receives a warning message that he / she should write a “Scientific Report” regarding the conference participation and upload it to the system. The Scientific Report must be uploaded to the system within 30 days from the last day of the meeting. Participation support will be canceled if the report is not uploaded or uploaded late.

The Scientific Report draft can be downloaded from the supporting documents section of the application system and also from http://www.cost.eu/ITC_conference_grant_report_template. After completing the report, the applicant must save it in pdf format and upload it to the system.

The Short-Term Scientific Visit (STSM) support is individual support for researcher mobilization, based on institutional visits. Its main purpose is to increase scientific interaction between individuals.

The institution / organization / legal entity where the applicant is studying / working is accepted as the “Home Institution”, and the institution / organization / legal entity where the research will be carried out is accepted as the “Host Institution”.

However, in the evaluation of applications, indicators such as geographical inclusiveness, gender equality, and supporting young researchers are also taken into consideration by the COST organization.

Applicants are obliged to make arrangements on personal security, health, tax, social security and accommodation conditions themselves.

The budget request of the applicant and the evaluation made are taken into consideration in determining the amount of the Short-Term Scientific Visit support. STSM support may not cover all costs of the applicant’s research visit. The support is a contribution towards the applicant’s travel, accommodation and meal expenses.

Action managements may determine the accommodation and meal diaries at varying rates depending on the country where the Short-Term Scientific Visit will be held.

The researcher receiving STSM support is required to submit a scientific report regarding the visit to the Action Management within 30 days from the day the visit ends. In order for the payment to be made, the submitted report must be approved by the Action Management.
